Academy Administrator

REPORTS TO: Head of Academy
LOCATION: cinch Stadium at Franklin’s Gardens (NN5 5BG)
HOURS OF EMPLOYMENT: This is a part time position of 14 hours per week. These can be worked flexibly. 
CONTRACT TYPE: Part-time. This is an entry level position – salary dependent on experience.

REMIT:
This is an exciting opportunity to assist the Head of Academy and the Foundation and Development Phase coaches with the overall administration of the highly accomplished Northampton Saints Academy. 

RESPONSIBILITIES:

Core

  • To assist the Head of Academy in the forging of clear and positive relationships with teachers of rugby, coaches and development staff within feeder schools, clubs and CBs. 
  • To look after the Academy section on the Northampton Saints website and ensure all information is up to date, including Academy players lists and training dates. This includes producing information for the match day programme for all home fixtures. 
  • In conjunction with the Head of Academy make sure all academy athletes from Foundation Phase upwards are registered to the Northampton Saints Academy and appropriate records are kept so can be shown to National Academy head when required 
  • To assist the head of Academy with the annual Academy Review. 
  • Oversee the administration in making sure that all Academy staff both Full-Time, Part-Time and Voluntary are DBS registered. 
  • Responsibility for the administration of the Northampton Saints Foundation, Development and Conformation Phase.
  • To distribute kit accordingly to coaches and players list of remaining kit is on file. 

Foundation Phase (U15-U16) 

  • Contact point for all enquiries and all communications from parents, guardians, clubs and schools. o Booking of venues and liaison with onsite staff
  • Record registers of attendance
  • Keep database up to date of all Foundation Phase players / trialists
  • Liaise with coaches re: programme of work
  • Collate all end of season reports and distribute
  • Organisation of Foundation Phase trials from U15–U16.
  • Attendance at all venues to help with in-session and administration 
  • Keep medical forms for all Foundation Phase players on file. 

Development Phase (U17 – U18)

As per Foundation Phase above and also:

  • Organise insurance policies for selected England Academy Players.
  • Collate database of all school contacts
  • Keep administration forms on file for all players, to include but not exhaustive to Medical, Cardiac Risk in the Young (CRY) screening, Personal Details, School Details, Anti-doping form and Player agreements. 

THE SUCCESSFUL CANDIDATE WILL HAVE:

Essential Skills:

  • Exceptional organisational skills
  • Excellent verbal and written communication skills
  • Current and valid driving licence
  • Desmonstrable experience of building highly effective relationships
  • Proven ability to work effectively both independently and as part of a team
  • A strong desire to seek efficiencies and develop processes to strengthen the Academy operation
  • The successful applicant will be required to complete an enhanced disclosure check
  • Solid working knowledge of Microsoft Office
